Editorial Office

The editorial office is located in the 1329 Building. The editor, Anita Yeager, can be reached at 5-8-5728 if calling from a university telephone or 8-5728 from a Shands phone.

Submitting Manuscripts to the Editorial Office: Editorial review of manuscripts entails editing, formatting, checking references, checking affiliations and acknowledgments, and listing on faculty bibliographies. Manuscripts must be submitted electronically, either by disk or electronic mail. The average turnaround time is 2 weeks depending on the manuscript and other projects requiring editorial services. Projects are taken on a first come-first served basis except for abstracts, late projects, and galleys, which are given priority. If you require a specific turnaround time, note the date on the manuscript or call the editorial office. Please note which journal/book a manuscript is intended for and forward the appropriate authors guide to the editorial office.

References: To expedite checking references, please submit with the manuscript your copy of your references, which will be returned within 1 or 2 days, or a copy of the title page of the articles. If authors do not send copies of the title pages, all the following information must be included: all authors, complete title of article/chapter and journal/book, publisher of book and city where publisher is located, inclusive page numbers, year of publication.

Tables and Figures: Tables are typed and submitted as a part of the manuscript proper. If you have a question as to whether a figure is or ought to be a table or a graph, please note this on the manuscript. Tables should be submitted with the first draft of the manuscript, or as soon as possible thereafter. Figures consist of graphs or photographs. Rough drawings of graphs should be submitted with the first draft of the manuscript, or as soon as possible thereafter. These figures will be developed and revised along with the rest of the manuscript to ensure consistency between text and figure, and also to allow for refinement before final graphics and photography are done. The editorial office will make arrangements with Graphics and Photography once the final form of the figure is decided upon.

Permissions: When figures are borrowed, permission letters must be done. The editorial office will provide the necessary information to secretaries on how these should be done. When a figure is borrowed from a journal, you should provide a copy of the article or, if the figure is borrowed from a chapter or a book, a copy of (1) the book’s title page, (2) the page showing the address or affiliation of the author and/or editor, and (3) page with the figure on it. Information on every one of these pages is required in permission letters.

Review: Co-author and in-house peer review of manuscripts should be done before finalization of the manuscript. All co-authors should review an early draft of manuscripts they are listed on and a final copy. Authors should seek in-house review of their manuscripts by senior faculty before submitting unsolicited research manuscripts to journals.

Address: To facilitate communication with publishers and proofing of galleys, the editorial office will be listed as the correspondence address on all manuscripts unless authors request otherwise.

Affiliations/Grants/Presentation Information: These should be provided with the initial draft of the manuscript or as soon as possible thereafter, and include proper identification of all authors’ affiliations, the institutions to which they belong, and information about previous presentation or publication of the work. Also grant support, human experimentation procedures, and informed consent must be cited correctly. Permission should be obtained to acknowledge a person.

Cover Letter: Cover letters will be done automatically in the editorial office in a standard form unless authors indicate that they would like to enclose special or additional information.

Resubmission: Please send all correspondence and reviewer’s comments when they are received from journals or publishers; also note plans for resubmission if the manuscript has been rejected, in which case the editorial office can assist in revising the manuscript according to reviewers’ comments and in selecting the next journal.

Galleys: Please send original galleys and typescripts to the editorial office as soon as they are received because of the fast return time that publishers usually require. Authors should keep the extra copy of the galleys usually sent by publishers or make a copy for their own review. After review, authors should call the editorial office as soon as possible to note any corrections and to check whether, on proofing, the editorial office has discovered problems in the manuscript that only the author can resolve.

Curriculum Vitae and Bibliography: The editorial office maintains a curriculum vitae and bibliography for each faculty member. These are used for promotion and tenure reviews, grants, annual reports and other departmental administrative needs. Accurate and current documents depend on regular communication between the editorial office, the faculty members, and their secretaries. These documents are on the network and available for others to download or view. A faculty member may wish to maintain his own curriculum vitae, but he must still provide the necessary information for the department version to be accurate and up-to-date.

Staff Publications: The editorial office keeps a file of all staff publications. Faculty members are responsible for sending their new publications to the editorial office for copying. This also provides the editorial office with the information needed to update faculty bibliographies.
