What is my email address?
Your email address remains the same, is not case sensitive and is in the format
FirsletterfirstnameLASTNAME@anest.ufl.edu (AAlligator@anest.ufl.edu)

How can I access my mail from home/via the web?
The web page is http://mail.ufl.edu.
Use the blue button on left labeled ‘Outlook Web Access login’.
When using Internet Explorer on a Windows machine, you get a full web-based outlook.
You login with your Gatorlink account.

Can I use Outlook from home?
Off campus access to your Outlook/Exchange mailbox is currently only authorized via the https://mail.ufl.edu web application. This application has almost all features of the full outlook if you run it in Internet Explorer. Other applications are prohibited right now because of the amount of cached email stored on the local home computer, which is prohibited by policy TS0012.04 Personally or Affiliate Owned Computer Security Standard ( https://security.health.ufl.edu/policies/policies_b/TS0012.04%20-%20Personally%20or%20Affiliate%20Owned%20Computer%20Security%20Standard.pdf ). Note that PDA off campus use is allowed but it requires a 4 digit pin code and a 30 minute timeout on the device. In addition, we have the ability to remotely wipe the device.

Contacts lookup
By default addresses are looked up in the Global Address Book, which includes the whole of UF. However, people do not always list their proper address there, so you may need to put them in your local contact folder with the right address.

Mailing Lists
All our mailing lists start with ANES- .
(i.e. Computer supports is listed as ANES-COMPSUPPORT (not case sensitive)).
Just type that in the To: field and click the 'check names' button, it will give you a list of them.

Mailbox size
Your mailbox maximum is 250MB. If you exceed 200MB, you will get an email warning. Do not ignore the warning. Once your mailbox is full, your mail will bounce. We have turned on autoarchiving, which runs every 2 weeks. If you let it run, it will move any mail older than 3 months to your archive folder.
You can also do manual cleanup by clicking Tools->Mailbox cleanup on the menu.

How do I look up addresses?
Your email account is now part of the central University of Florida email system. The directory includes everybody at UF. To search for a person, start typing their LAST name, then hit the check address button (). It will give you a list of matches. You can also search for LAST name, then comma, no space, then part of the first name. For the default setup, is you want to find someone in your Contacts folder, start with their first name.

What can I do about spam?
All messages with {Spam?} in the subject should be automatically going to your Junk Email folder. If they are not, contact IT support.
If a message is incorrectly moved to Junk Email, add the exact email address to your personal contacts folder in outlook and it will no longer be moved in the future.

Can I share my calendar/contacts with someone else?
To share your calendar, select it and click on the link ‘share my calendar’ in the left column. Click ‘add’ and enter the lastname of the person you want to share with, select the right person and hit enter. You can then select the type of sharing: select Editor if that person can make changes, select Reviewer if that person should be read-only.
Same process for Contacts.

How do I setup a PDA Phone?
Setup instructions vary per device, but generally, you need a phone that supports exchange activesync (all windows mobile devices, some palm devices, iPhone 2.0). You should make sure that you have an unlimited data plan, as email checking will use up a lot of bandwidth. The exchange server for the configuration of a PDA Phone is always mail.ufl.edu. NOTE: a 4 digit PIN with a timeout of 30 minutes or less is a required security feature. This is mandated per HSC policy, and we cannot change that. Your phone will not sync if you do not enable it.

I clicked something and now my calendar is blank!
Click on the calendar button in the left panel. You will see a listing of calendars you have access to. Make sure the one marked as just ‘Calendar’ is checked. There may be other calendars listed in archive folders, but they will typically be blank.

I don’t see any mail received Today!
Mail is generally organized by day. There is a – in front of the day, if you click it, that day is hidden and the symbol turns in to a +. Click the + to show them again.

Exchange server: HSC-CMS01.ad.ufl.edu (when on campus)
mail.ufl.edu (outside campus)
Username: Your gatorlink username
