Leave Policy
The Department of Anesthesiology has four types of leave available to faculty members: annual leave, administrative leave, sick leave, and meeting leave. Regardless of the type of leave, all requests, with the exception of sick leave (unless known in advance, ie surgery); must be entered into the department leave system on the anesthesia network, and approved prior to being taken.
Any department employee may request annual leave at any time, up to one year in advance, but prior to being taken, annual leave must be approved by the supervisor or designee. No annual leave may be granted prior to accrual, according to University of Florida personnel records. Faculty members earn 6.769 hours per pay period (not available for use until the next pay period). New faculty members who were previously housestaff cannot carry forward any unused leave from their training program. Signed leave slips should be sent to Marilyn Blackwell immediately upon return to work.
Administrative leave may be taken as described in University policy (see UF Faculty Handbook). Leave requests must be approved by the Leave Coordinator (Dr Gordon Gibby) and chairman prior to being taken.
The inability to be at work due to illness of oneself or a family member must be reported as soon as possible. If scheduled in the OR or unit, the physician must report his absence to the Officer of the Day. If nonclinical, notify your secretary who in turn will contact Marilyn Blackwell. Signed leave slips should be sent to her immediately upon return to work.

Faculty Leave Policy Revised. February 8, 2001
- Leave requests for meetings and/or annual leave must be submitted via computer by the faculty member or his designee. This can be done up to 12 months in advance.
- Presentations at meetings and participation in departmentally sponsored meetings are given priority over annual leave and meetings for attendance. Also included in this group are NIH study groups/site visits.
- Annual leave is given second priority and meetings for attendance are given the lowest priority as determined by date and time of submission. A 12-month calendar with all currently submitted leave requests is maintained on the web.
- Annual leave requests of faculty faced with losing annual leave are given priority when considering approval of requests for annual leave.
- Annual leave is taken in proportion to the faculty member’s clinical/academic ratio. If the leave is denied, the faculty member has the option to request approval by using academic days in lieu of the ratio.
- For each workday there will be "guaranteed leave spots." If a request falls within the number of guaranteed spots, it will most likely be approved except in unplanned staffing crises. Please check with the Leave Coordinator before making any nonrefundable commitments based upon a "guaranteed spot." During the ASA and departmental meetings, no guaranteed spots are available.
- Three months prior to each rotation, all leave requests for that time period are reviewed and forwarded by the Leave Coordinator to the Chairman for approval or disapproval.
- Leave may be cancelled by the faculty member prior to the
call/teaching preference deadline for that month. After the deadline,
there are only two options available to the faculty member:
• Take the leave anyway.
• Arrange a leave trade with another faculty member of compatible clinical responsibilities. The Leave Coordinator will, upon request, supply names of those whose leave requests were denied for that specific period. It is the responsibility of faculty member wishing to cancel leave to arrange the trade, make the Officer of the Day aware of the trade, and send a notice of cancellation to the Leave Coordinator along with the name of who will be taking the leave. Marilyn Blackwell must also be notified immediately via email or the faculty member will be charged annual leave. - When submitting leave requests after the call/teaching preference deadline, the faculty member must update the call/teaching preferences. If the leave is for already agreed-upon academic time, Dr. Gibby should still be notified of the submission of a new request.
- The University of Florida Application for Leave must be completed
immediately upon return from annual leave and sent to Marilyn Blackwell
for input into UF’s Central Leave System.
